Here you will find a guide to help you setting up your slack bot and enable your teams to find their wellbeing hub
It is essential to communicate effectively with your staff to make them aware of the fantastic benefits available through your wellbeing hub. This hub offers a range of professional support services covering mental health, physical well-being, career development, family and relationships, and financial guidance. By providing access to these resources, employees can connect with the right help to address any challenges they may be facing.
In today's busy world, we are constantly inundated with information, emails, and messages and sometimes it is hard to keep track on where your staff can find and access their unique Wellbeing Hub url , so why not make it even easier using your existing communication tools (such as Slack).
This non-invasive approach can help keep your team find your wellbeing hub on any channel they may ask, or type certain keywords or when asked the question, the bot takes care of it. Simple! Setting up the slack bot is quick and easy, requiring minimal technical skills and only a few minutes of your time.
Note that there may be other communication tools like slack that you can use to trigger reminders for your staff. We recommend consulting with your IT team if you are using MS teams or others.
Note: You may need administrator rights in slack to set up channels in slack and workflows. Please contact your IT team.
This implementation doest not require technical skills and should take no more than 5 minutes to set up.
Setting up your Slack Auto-Responder Bot
First go to your slack app and click on the name of your company > Go to Tools and Settings > Go to Customise Workspace.
Next, a tab in your browser will open and there you will be able to see a screen with multiple tabs, go to Slack and click "Add New Response"
After Adding the New Response you will be prompt to fill out:
- When someone Says - these are the terms you can create when someone ask certain terms on any channel
- Slackbot responds- what you want your slack bot to respond upon the "typed terms".
"When someone says" section
Under "When someone says" you can add multiple terms separate by "commas": We recommend adding terms such as: Wellbeing Hub, My Wellbeing Hub, Therapy, Mental Health, Career, Professional Advice, Assistance Programme, EAP, Hub, Depression, employee benefit.
Any specific terms that your employees may ask in relation to their Wellbeing Hub benefit, this way the bot will when relevant trigger the responses accordingly.
"Slackbot Responds" section
Under "Slackbot responds" you can add multiple responses, these are required to be added on different lines so the bot can choose "randomly" the responses when someone type the terms you created (above).
Note: Enter each response on a new line to ensure the bot can select the relevant answer in a single response. Simply add the response, hit "ENTER," add the next response, hit "ENTER," and continue this process as needed.

Test and add more options
- As you check and test the bot, it is advised to keep iterating, adding more responses and more "keywords".
- Check that your wellbeing hub URL when the bot responds is taking your team to the wellbeing hub and it is working.
- And finally ask for feedback to your team. Ask them, where else do they feel they should be able to access their wellbeing hub when they need it to drive their Wellbeing forward!
This is an example of a user adding the term "my wellbeing hub" and the bot triggering different answers based on the settings created.
