Wellbeing Hubs- Tips to Drive Awareness: Setting up automatic Slack Reminders for your staff.

Here you will find a guide to help you setting up weekly, bi-weekly or monthly reminders about your wellbeing benefit.

It is essential to communicate effectively with your staff to make them aware of the fantastic benefits available through your wellbeing hub. This hub offers a range of professional support services covering mental health, physical well-being, career development, family and relationships, and financial guidance. By providing access to these resources, employees can connect with the right help to address any challenges they may be facing.

In today's busy world, we are constantly inundated with information, emails, and messages. Imagine being able to effortlessly send automatic reminders through your existing Slack environment on a weekly, bi-weekly, or monthly basis. This non-invasive approach can help keep your team informed and engaged. Setting up these reminders is quick and easy, requiring minimal technical skills and only a few minutes of your time.

 Note that there may be other communication tools like slack that you can use to trigger reminders for your staff. We recommend consulting with your IT team if you are using MS teams or others.

Note: You may need administrator rights in slack to set up channels in slack and workflows. Please contact your IT team. 

This implementation doest not require technical skills and should take no more than 5 minutes to set up.

Setting up your workflow in Slack

1- Go to your slack app and click on the 3 dots on the left menu and click on Automations > Click on create Workflow


2- Select "On Schedule" and then set up your preferred schedule. Here you can simply select the recurrence of your message. (We advise setting it up every 2 weeks on Fridays)

 

 

 

3- Select from the right "steps menu| the first step -> Random Giphy -> In here when editing the Giphy Step, we recommend typing Wellbeing as this will post Giphys that relate to "Wellbeing"

4- Then add the next step which would be Message -> Send a Message to a Channel and here you will be able to edit the message you want to post. (We add some examples of messages you can use below)

We recommend using emoticons in your message and also very important is to ensure you add your Wellbeing Hub Unique URL into the message, so your staff can click on that link and go directly to their wellbeing hub.

5- Finally once happy with your steps you can click Publish. You might be prompt to:

- Change the name of the workflow - We recommend using something like Company Name Wellbeing Hub Reminders
- Same for your workflow description
- Change your image to your logo emoticon (so all the posts appear with your own favicon-logo)

 

Your workflow will start on the selected date (from step one) and will set up that recurring reminder.

IMPORTANT
Make sure that all your existing and new employees are added to the channel where you are posting these reminders. We either recommend sending them to your General communications channel or else create a new channel such as #wellbeing-at-company-name

 

Examples of the reminders - How it looks after the workflow starts running

As you can see, since we selected Random GIF and we type the keyword Wellbeing, all posts are triggered with a different gif related to wellbeing. If you don't want gifs and only want a message with emoticons you can always do that.
