Professionals: How to setup Client registration requirements

There are times you want to collect some additional information from your clients in advance of a session. Here we explain how you can do this.

Before your clients book sessions with you, there may be certain additional pieces of information that you would like to have from them in advance of the session taking place.

This is called Client Registration Requirements. When a Client is booking a session with you, they will be prompted to add some additional information before processing the booking.

 

Please note: Anything you add to the booking flow will impact or create additional friction for the Client when booking a session with you, so we recommend using only what you really need to run your session.

Recommended:

  • Phone
  • Reason for booking / Personal Message 

     

    The "Reason for booking" box serves as a space for clients to input comments when scheduling a session. Any changes made to the text in this box will replace what was previously written, allowing clients to provide updated information or messages as needed.

The current available requirements are:

  • Address
  • Phone
  • Gender
  • Social Security Number - This requirement may be more relevant to professionals in Iceland, as the Social Security Number is a 10-digit number. If you are located outside of Iceland and do not actually need this information from your clients, we recommend not making it a mandatory requirement to access or join your services.
  • Date of Birth
  • Country
  • Personal Message / Reason for Booking
  • Preferred Method of Interaction (On-site or Remote)
  • Client needs to have a registered Credit Card (Only works if you enable Kara Pay)

Setting up Client Registration Requirements

We recommend setting up Client Registration Requirements to ensure that your Clients have a preferred payment method added before joining a session with you. 

Please note that this setting won't be presented to the Client if they still have Credits sponsored by their company. 

To enable this, take the following steps:

1. Click Settings in the top right-hand corner of your account.

2. Click Client Access on the left-hand side.

3. Scroll down to Client Registration Requirements and click Edit.

4. Enable any services that are not currently selected which you might need from your Clients.

Please bear in mind that you may not need to select all of the requirements. We recommend not adding everything because this will create friction during your client's booking process (unless you require this information for a specific reason).

Otherwise, select the basic information, such as "Client needs to have a registered credit card" or "Personal Message".

Reason for booking / Personal Message 

We strongly recommend having this enabled as a client requirement in your Workstation under our Wellbeing hubs programme. This setting will enable you to get an understand on why the employee is booking with you.


The process is very simple and explain below:

Set up Reason for Booking

  1. Go to your workstation by logging in here.
  2. Go to Settings
  3. Client access -> Hover the box and you will see the EDIT Button
  4. Click Edit and "Check the option" Reason for Booking
  5. Click Save.

What Clients on Wellbeing Hubs will see and where to find the Reason for Booking in your Client profile

During the employee booking process they will be prompt with a box to leave a message for you, this will contain general information that the client wants to share in advance of meeting.

In your Workstation you simply need to go to the Clients Tab (on the top menu), look at your clients, and search for your client (You can do this by typing the client name or the email to easily find them).

Once found click on the client name, here you will see in the left side the Reason for Booking text submitted.
